To paraphrase an old quote, “spring has sprung, the
grass is riz, I wonder where Manatts is?”
The construction season is about to kick into high
gear again. To help keep the paper flow part of the job running
smoothly, please make sure to turn all paper work in as soon as
possible.
Fuel receipts need to be signed and have a unit
number and if possible, an odometer reading on them. Please check
your tickets before turning them in to me. Many times the original
ticket was signed at the station and the carbon was given out. The
carbon copy ticket that you received probably has the signature line
blocked out. You need to sign this copy and double check to see if
the unit number appears on the ticket.
By the time I receive an unsigned ticket, it has
changed hands several times, and it becomes a guessing game to
figure out where it came from. I would suggest keeping an envelope
with your name on it in your vehicle. Put all of your fuel receipts
in this envelope and when turning them in, mark the envelope to the
attention of Becky.
Much time is spent each month trying to call people
for copies of tickets that we did not receive in our office. Many
times we are charged a fee for requesting copies of invoices that
are lost. This slows down getting that company paid and makes extra
work for both Laurie and me.
Another important part of the paper work is to
correctly fill out the truck time cards. Odometer readings need to
be taken at the beginning of the day and again at the end of the
day. When crossing state lines, odometer readings need to be taken
each time.
Even though paperwork may seem like a small part of
the construction season, it is an important part. It takes all of
us doing our job to make any project a success. Let’s all work
